Here is a list of things that will help make the day go smoothly. Please understand that these are only suggestions, and we fully understand that not all schools will be able to accommodate all of the suggestions, and we are more than happy to tailor our day to fit in with your own individual logistics!
PROVISIONS:
1. We need a large space to accommodate a circle of chairs for each player and a space for warm up games. A gym hall or assembly hall is ideal.
If it is possible for the school to prepare the chairs in advance of our arrival, this is most appreciated. The following diagrams will help you. Layout for up to 34 Layout for 48 Layout for up to 62
2. We require chairs for each participant. If chairs are not available we can use benches. We prefer it if children don't have to bring their own chairs in and out for each session.
3. We need to be set up in the same space all day and have the different groups come to us for the sessions.
4. We need to get vehicular access to the nearest point for loading and unloading of the equipment.
5. Approximately 5 to 8 helpers (older children) are also requested at the beginning and end of the day to help with the unloading and loading of the equipment and the set up of the chairs.
6. We also appreciate it if the school can supply a school lunch for our facilitators.
7. From time to time we may wish to take photos or video footage of the sessions, if there are any classes in which pupils do not have permission to be photographed, or for their photographs to be used for media purposes, then we are grateful if you can inform us of this prior to the session.
SESSION DETAILS/ TIMETABLING:
We are happy to work out a suitable timetable if you can provide us with the following details:
1. School start and finish times including all breaks.
2. Class numbers and sizes.
3. Whether or not we need to allow for clearing of the hall for lunch.
However if you wish to work out your own timetable, the following information may help:
1. For Nursery and Primary 1 to 3 groups, session times of 30 mins to 1 hour are recommended.
2. For Primary 4 and 5, session times of 45 mins to 1 hr 15 mins are recommended.
3. For primary 6 and 7, session times of 45 mins to 1hr 30 mins are recommended.
4. Groups of up to 60 children at any one time can be catered for.
5. For the final session of the day, we can usually see the whole school and create a powerful and memorable finale involving all the children with boomwhackers, dancing and singing!
A typical primary school day might look something like this:
9 - 9.45 Group 1
9.45 - 10.30 Group 2
10.45 - 11.30 Group 3
11.30 - 12.15 Group 4
1.15 - 2.15 Group 5
2.15 - 3 Group 6 or Whole School Finale
Please note that it is quite helpful if the first group are Primary 3 or above as they are often involved in lifting the drums off the chairs, and also if a whole school finale is chosen at the end of the day, it works well if the final group (Group 5 in the above example) is an older group.
